Multi-function Systems

Free Up Office Space with Multifunction Devices

Not long ago, cellular phones were simply used for phone calls. However, today we can e-mail, text, surf the internet, take pictures, and even watch movies on our cell phones. It is very clear that we expect a single device to do more than just one task. This should not be any different in the workplace.

With the digital revolution in full swing, people are getting more and more used to working with a myriad of devices, each designed to make our lives just that little bit more convenient. The traditional office probably includes printers, faxiStock_000001266405Small machines, copiers and scanners. These devices not only take up physical space, but they also consume financial resources.

Just as our cell phones have integrated with other devices, a multifunction printer (MFP) can combine various document-related tasks into one easy-to-manage machine. With a MFP, your company can cut overhead costs and free up valuable space. Plus, you can help enable remote employees with easy online integration.

In addition to combining printing, scanning, copying and faxing into one machine, the addition of electronic document management will free up even more space and increase productivity. Digital storage is extremely cost-efficient and works in conjunction with a MFP.

It is very easy to take advantage of a single device that can do the job of multiple pieces of equipment. No longer will you have to decide if you should purchase another copier or another desk. Multifunction printers will save your business money and improve workplace efficiency. continue reading...

Upgrade Your Systems for Cost Savings

Offices everywhere continue to explore how they can reduce their carbon footprint. However, many offices fail to realize that some of the biggest power consumers are copiers and printers.Pen on Positive Earning Graph

With today’s multifunction systems, it is very easy to install a single machine that will print, copy, scan and fax. A typical workgroup consumes 481 kWh per month and costs over $600 per year to power. Now think about how many workgroups are in your company and see how more devices, may not always be better.

Reducing the power consumption of your printer and copier fleet makes both environmental and economic sense. Here are a few ways that we can help you accomplish this:

Solution 1: Device Consolidation

A practical solution for decreasing costs is consolidating devices with multifunction systems that print, copy, fax and scan. Today, there are many options available that include compact desktop systems, robust workgroup and even departmental systems.

Solution 2: Power Saver Modes

Energy Star certified devices are the best at saving power whenever possible. These devices can be set to enter sleep mode and even turn off automatically at night. Older systems take a long time to warm up, and therefore discourage offices from turning them off. However, most new systems have technology that lets them warm up from sleep mode quickly, minimizing the interruption to your work.

Solution 3: Retire Older Devices

Some of the biggest power hogs may be older printers and copiers that have been kept around for convenience and because they aren’t technically broken. Many of these are hidden under desks and shoved into corners. While they may be convenient, it probably does not make sense to power a printer that is only printing a handful of pages every month, especially when power is so expensive. In the interest of power savings, it may make sense to retire and recycle these systems in exchange for a more cost-efficient device.

We can help you reduce the power usage and carbon footprint of your organization. Contact us today to learn more about how you could start saving the environment and money today! continue reading...

Increase Productivity with Multifunction Devices

There is no doubt most offices have taken advantage of the benefits of wireless internet. Without having to deal with cumbersome cables, employees are able to conduct their work throughout the office, increasing collaboration. Now you can increase the productivity of your business even more with multifunction devices with Wi-Fi connectivity. A wireless device allows documents to be printed from portable laptops, digital cameras or other devices within range.iStock_000001042987Cropped

Through the use of a built-in Wireless Network Interface Card (WNIC), printers are now more mobile and versatile than ever. By replacing the standard USB connection, you allow for minimal cabling to connect the device to electricity. Not only does this provide mobile printing, but it also makes reallocating your devices quick and easy.

Wireless multifunction devices still have all the features of a standard device and also reduce clutter and dangerous cables in offices. With access to a central printer connected to a Wi-Fi hub, hundreds of employees will have printing capabilities without having to share cables.

When it comes to designing and customizing the layout of workspaces, wireless devices offer expanded flexibility. Most wireless multifunction systems can work within a radius of about 150 feet.

Multifunction devices with Wi-Fi connectivity are not restricted in features, either. They can perform all the standard functions of wired devices such as scanning, copying, color printing, and remote access. However, with wireless connections, you give your office the power to print to any device within range.

Even with this increased functionality, Wi-Fi printers are not necessarily more expensive than standard printers, especially as the technology becomes more of a standard feature on new models. The fact that you can now use a central printer from any number of computers and devices can also save on the cost of having to buy additional printers for each area of the office.

Wireless multifunction models are increasing productivity in offices around the world. You have the ability to print to any device within range, therefore allowing you maximum flexibility. This can be very beneficial for client meetings or presentations. continue reading...

Reasons for the Surge in Multifunction Popularity

This year over 1.2 million office multifunction systems will be installed in the United States and the movement continues to grow. These systems provide printing, copying, faxing, and scanning features in one cost-effective device.

The basic logic behind these systems is obvious: it is just practical to combine these similar functions for cost savings and fewer devices to supply. iStock_000001475697Small

However, some of the largest reasons behind the rapid implementation of these systems extend beyond cost savings. Multifunction devices can merge with document management software to allow process automation and deliver bottom line results.

  • Modernized Communication: Multifunction systems email, fax and print together. Scan to email functionality delivers paper documents securely to their recipients as email attachments. Fax routing directs incoming faxes to email addresses.
  • Automated Business Processes: Multifunction systems offer a convenient on-ramp to get paper onto a digital network. New capture software provides the technology for information to be read from scanned documents where it can be routed through a pre-defined workflow.
  • Expanded Security Features: Security and compliance are hot new issues for virtually every industry. Multifunction systems can help enhance your corporate security with a secure Electronic Document Management System.

If you are looking for a corporate initiative to save money, then you likely are considering or have already implemented multifunctional technology. Even if you already have a multifunction device integrated into your business processes, there are always new features that can improve the efficiency of your office.

Xerox's ColorQube 9200 Series Solid Ink Multifunction Printer Delivers on its Promise to Reduce Waste and Save Customers Money

ROCHESTER, N.Y., May 19, 2010 - Last spring, Xerox Corporation (NYSE:XRX) introduced its ColorQube(tm) 9200 Series multifunction printer

(MFP) with a straightforward proposition - affordable color that lowers the environmental impact of office printing.  One year later, organizations around the world say it's true - solid ink technology is making a positive impact on business and the environment.

"The technology behind the ColorQube 9200 Series, along with Xerox's marketing of the solution, has been very well-received in the marketplace," said Angele Boyd, GVP/GM, Imaging/Output/Document Solutions, IDC. "The MFP is answering a definite need for businesses worldwide and is a testimony to the benefits of Xerox's solid ink technology."

Customers using the ColorQube 9200 Series to cut costs and meet their sustainability goals include:

  • CityCenter (U.S.), an urban destination of hotels and residences, spas, dining and shopping on the Las Vegas Strip, recently installed 37 ColorQube 9200 MFPs to help meet sustainability goals. The MFPs generate 90 percent less supplies waste, 9 percent less lifecycle energy and 10 percent fewer greenhouse gases than a comparable laser-based product and are located in every property in the development, including the flagship ARIA Resort & Casino.  CityCenter has achieved six LEED(r) gold certifications by the U.S. Green Building Council. The solid ink MFPs are just one part of its commitment to using sustainable elements and practices to create a healthier environment at CityCenter.
  • The ColorQube 9200 Series is helping businesses in Europe reduce their color printing costs, including Capespan (U.K.), a leading fresh produce company that installed two ColorQube 9200 MFPs at its headquarters earlier this year. The MFPs cut the cost of color pages by up to 62 percent compared to traditional color lasers, without compromising print quality, saving the company thousands of dollars.  "When looking for new office printing equipment, our objective was to consolidate the total number of printers, while retaining productivity levels," said Jeremy Sykes, network manager, Capespan. "The ColorQube 9200s have accomplished this goal with a lower cost of ownership and impressive reliability."
  • Corus Entertainment Inc. (Canada), one of Canada's largest and most-successful media and entertainment companies, has entered into a five-year partnership with Xerox Global Services to run its Corus Print Centre. The deal enabled Corus to replace 240 older print devices with 43 new Xerox machines, including 30 ColorQube 9202 MFPs.

The MFPs will help Corus reduce costs, increase staff productivity and build on the sustainability initiatives associated with the company's new LEED gold-certified headquarters.

The ColorQube 9200 Series will be on display at IPEX 2010, May 18-25 in Birmingham, U.K. Xerox's booth is located in Hall 7.

Xerox Ups the Ante in Production Color Printing; Adds Clear, Dry Ink to New Presses for More Vibrant Images

PHILADELPHIA – Print service providers looking to expand their digital businesses now have two new options to produce sophisticated, full-color sales collateral, direct-marketing pieces and photo publishing products – the Xerox Corporation (NYSE: XRX) Color 800/1000 Presses.

The systems – printing 80 and 100 pages per minute respectively – can produce high definition image quality on a wide range of paper stock. An optional clear dry ink station, a feature exclusive to these devices within the Xerox color portfolio, amplifies full-color jobs. This clear, dry ink allows for images and text to be highlighted for visual impact, or digital watermarks applied for artistic effect or security. It is also beneficial for variable-data applications using Xerox’s XMPie software, as it displays personalized content in more vivid ways.

“The image quality of applications coming off these new presses is absolutely superb,” said Frank Romano, professor emeritus, Rochester Institute of Technology. “Print providers want to increase the worth of every page they sell, and the clear, dry ink delivers. It adds vibrancy, quality and value to an application.”

The high-volume devices, designed for commercial and in-plant print operations as well as marketing communications firms, are positioned between the award-winning Xerox DocuColor® 7002/8002 Digital Color Presses and the flagship iGen4™ Press.

The Xerox Color 800/1000 Presses print at 2400 x 2400 dpi for excellent sharpness and uniformity, and use Xerox’s new low-melt Emulsion Aggregation (EA) Dry Ink, which delivers an offset-like finish. EA Dry Ink also requires less energy to manufacture than conventional toners.

  • Innovative design – offers two 2,000 sheet trays positioned below the print engine, providing a smaller footprint compared to competitive systems. An optional High Capacity Feeder with two additional trays can increase capacity to 8,000 sheets.
  • Broad media latitude – accommodates stocks from 55 to 350 gsm, allowing for printing of lightweight mailers that save on postage to thick, heavyweight photo keepsake applications. With sheet sizes up to 13" x 19.2", the presses can handle multi-up jobs and applications needing full-bleed trim.
  • Workflow enhancements – simplify production requirements with Xerox’s FreeFlow® Digital Workflow Collection. Presses are available at launch with Xerox’s FreeFlow Print Server and Xerox EX Print Server, Powered by EFI Fiery; at a later date with Xerox CX Print Server, Powered by Creo.

The options from Xerox and EFI integrate with the Adobe PDF Print Engine to enable quick and reliable printing of native Adobe Portable Document Format files, including complex designs and transparencies for production environments.

  • Xerox Productivity Plus service – alerts users when a scheduled routine is approaching, and provides step-by-step replacement procedures. Additional self-cleaning technology maximizes uptime and maintains top image quality.

The new presses can be paired with Xerox’s ProfitAccelerator® tools and resources, as well as its Business Development Services.  Xerox’s Design Guide for Clear Dry Ink, developed specifically for the new presses, helps customers quickly grow their digital printing businesses.

Three Simple Recycling Strategies for Your Office

The world is focused on recycling. One of the best places to start may be with your office laser printers and multifunction systems.

Here are three simple steps to cutting waste and saving money:corporate online trainning - man presenting

  • Recycle Paper Put recycling bins next to your printers and copiers. Most municipalities have recycling services. You can also use recycled paper in your printers and copiers. Make sure to select a good quality of recycled paper that is rated for laser printers and copiers.
  • Duplex Printing A great way to immediately cut paper usage is to set your printers and multifunction systems to default to duplex (two-sided) printing. This is especially helpful for long print jobs because duplex printing literally cuts your paper usage in half.
  • Recycle Printer Cartridges It takes over 2 quarts of oil to make a new laser printer cartridge. Make sure that printer cartridges are sent for recycling. You can also use remanufactured printer cartridges in many laser printers- you’ll save landfill space and spend less.

These three simple steps can be taken to reduce the environmental waste of your office - while cutting costs. continue reading...
