Transition to the Cloud

Many changes are happening in the way that we conduct business. One of the biggest changes is the introduction of the cloud to our normal everyday business processes. The cloud is data stored digitally that can be retrieved by users on a network. This allows for the elimination of physical filing systems, and gives users quicker and more efficient access to the files they need.

There are a few steps that a business needs to take before making the jump into the cloud:

· Assess your needs – Determining exactly what you need in regards to your network is the first step. This helps you discover the best ways to implement the cloud, such as storage, accessibility, etc.

· Evaluate current equipment – Taking an inventory of the equipment you already have will help you in determining your next steps and what equipment is needed.

· Find the right document management program – There are many businesses out there that offer document management services. Finding the right company is vital so you get everything you need from your document management service.

The Evolving Role of Paper

Paper is one of the most fundamental parts of an office. It makes up a significant portion of our documents, promotional materials, employee and client information, as well as financial information just to name a few. Needless to say, paper has been the basis of information storage for a very long time.

Technology is advancing in such a way that we no longer have to rely on paper as the only way to store documents. Digital files have given us the freedom to reduce printing within our office and begin to cut costs from our print budget. Aside from saving money from printing less, utilizing digital files has also allowed us to reduce the amount of file storage we must have available in our office. This means we can utilize this space for more important means.

Currently, we are not at a point where we can fully eliminate paper from our offices. However, there will come a time where printed materials are kept to an extreme minimum. This will allow offices to repurpose a portion of their budget currently dedicated exclusively to printing.

Print management programs are allowing businesses to begin reducing printing in many areas. Even today there is a significant amount of printing taking place that is unnecessary. By eliminating excess printing from your office, you will begin to see immediate benefits in both savings and productivity. Ignite Productivity Through Managed Print Services

In the office, it seems we are always in a hurry. For this reason, very rarely does anyone take the time to fix a printer. Instead, they are forced to find a different device so they can complete their task in a time-efficient manner.

But still, they are forced to take control of the issue and organize some sort of fix, whether it is an easy paper jam or having to schedule a repair from a local company.

Reducing Storage Costs with Document Management

Advances in technology now make it possible for medium and small businesses to take advantage of print and document management technologies.

Recent research by InfoTrends found that overall expenditures on documents composed 6% of annual revenues. Document costs include anything from printing and copying to the infrastructure needed to store and retrieve critical information.  The volume of information grows every year which means document costs will only increase.

Electronic Document Management technologies (EDMS) allow you to create a secure and searchable archive of your business information.  Incoming documents can be scanned and stored for later processing or retrieval in a central digital repository.  According to Dealer Marketing Systems, one 100 GB disk can store over 2,000,000 pages of information and replace over 100 filing cabinets.

These systems provide searchable access to scanned information, enabling better business decisions and smoother customer service interactions.  They also create a much-needed disaster recovery plan and help ensure regulatory compliance.

Integrated Electronic Document Management and the SMB: No One Size Fits All

By James True

cng-safe key elements The Small-to-Medium (SMB) business segment may be one of the most misunderstood markets ever. Vendors erroneously assume SMB is a large, undifferentiated market that is easy to sell into, especially compared to large enterprises, where big brands and massive corporate sales forces are needed to get a foot in the door.

In fact, SMBs vary substantially in their technology needs. The smaller prospect is very different than the larger mid-sized firm in terms of the technologies they can use as well as how they buy, support and implement these technologies. The differences between small and mid-sized companies are well-illustrated by their document management technology needs. In particular, integrating electronic document management technology with the business applications commonly used by the small enterprise poses a special challenge.

Let there be little doubt: SMBs, in common with their enterprise corporate counterparts, can and do benefit by going paperless. All companies can take advantage of streamlined workflow and improved business processes, while saving money on physical storage space and associated costs. However, in order for SMBs to fully gain all the advantages of an integrated electronic document management solution, the following differences between small and mid-sized companies must be recognized:

  • Smaller firms typically have no IT departments, so ease of use is important along with out-of-the-box functionality;
  • Smaller firms have strictly limited operating budgets and will only sign on if there is clear and compelling value;
  • Mid-sized firms tend to gravitate to Value Added Resellers (VARs) for advice and customization of a solution specific for their market segment or have internal technical staff assigned to such tasks.

An example of document management solutions tailored to different types of SMBs can be found in Cabinet NG’s products. Cabinet NG’s CNG-SAFE (Shared Access Filing Environment) is an automated document management and workflow software platform that gives the SMB everything necessary for successful document management in a single package. This includes advanced data protection, intuitive user interface and the ability to integrate with most third-party applications.

Integrating electronic document management with third-party applications must align with the differences between small and mid sized firms’ resources. For the small firm, Cabinet NG’s Retriever™ works with virtually any Windows- based program to allow access to CNG-SAFE documents and document management functionality from within an existing application. Behind the scenes, Cabinet NG’s Synchronizer ensures index data, between CNG-SAFE and the 3rd party application, is up to date. Synchronizer easily connects to any ODBC/OLEDB compliant database to automatically create and update data used by CNG-SAFE. As growing firms upgrade or replace existing 3rd party applications they can continue using CNG-SAFE in the new environment and extend their investment and use of document management with Retriever and Synchronizer.

Mid-sized firms needing to go beyond the productivity benefits offered by Retriever and Synchronizer can use the Cabinet NG Application Programming Interface (CNG-API). The CNG-API allows developers to integrate other software applications with Cabinet NG’s document repository and workflow processes. CNG-API’s set of program methods and classes is the preferred approach to meet the custom needs found in most mid-sized firms. Resellers, OEMs or clients developers using the CNG-API are able to increase end-user productivity with seamless integration to the businesses existing core applications.

Retriever, Synchronizer and the CNG-API all share the ability to offer SMBs these benefits:

  • Tying CNG-SAFE document management functionality to existing business applications;
  • Increasing productivity by performing document management functions from one application;
  • Streamlining and automating business processes from a single interface, and;
  • Preserving existing application investments and maximizing return on investment.

The SMB market is unique, and within it are yet more unique needs. Effectively supplying SMBs of all stripes with all the benefits of integrated electronic document management requires a range of technologies with varying degrees of plug-and-play functionality.

Key Features - Scanning Applications for Law Firms

Indexing - The application should allow for the entry of case and matter information, and this should allow you to automatically rename the files based on these values, and create folders. Rapid indexing features should allow quick entry of these fields for multiple documents.

Optical Character Recognition (OCR) - OCR takes the scanned image, and converts it to a text-based format. When looking at this feature, it should allow conversion to the following 3 formats: Adobe Image + Hidden Text, Word/WordPerfect and plain text. If you can test the software, see what type of results it provides with several sample firm documents.

Export - Depending on how you are managing your cases, the application should offer maximum flexibility on where you can direct the end product. I have several firms that use multiple case/document management systems, depending on the case type and size. Folder Export, Summation, Alchemy, SharePoint, etc should all be supported.

Bates Numbering - Get rid of that old stamp!! Most Advanced Capture Applications provide the ability to digitally Bates Stamp your documents. Huge time saver.

Obviously this is just a starting point, but these are some necessary features that will make processing documents easier, and much more efficient.
