Reasons for Multifunction System Popularity

This year over 1.2 million office multifunction systems will be installed in the United States and the movement continues to grow. These systems provide printing, copying, faxing, and scanning features in one cost-effective device. The basic logic behind these systems is obvious: it is just practical to combine these similar functions for cost savings and fewer devices to supply. However, some of the largest reasons behind the rapid implementation of these systems extend beyond cost savings. Multifunction devices can merge with document management software to allow process automation and deliver bottom line results. Modernized Communication: Multifunction systems email, fax and print together. Scan to email functionality delivers paper documents securely to their recipients as email attachments. Fax routing directs incoming faxes to email addresses. Automated Business Processes: Multifunction systems offer a convenient on-ramp to get paper onto a digital network. New capture software provides the technology for information to be read from scanned documents where it can be routed through a pre-defined workflow. Expanded Security Features: Security and compliance are hot new issues for virtually every industry. Multifunction systems can help enhance your corporate security with a secure Electronic Document Management System. If you are looking for a corporate initiative to save money, then you likely are considering or have already implemented multifunctional technology. Even if you already have a multifunction device integrated into your business processes, there are always new features that can improve the efficiency of your office.   continue reading...

Xerox’s New Advanced Color Multifunction Printers Streamline Work; Boost Office Productivity

NORWALK, Conn. -- Xerox Corporation's (NYSE: XRX) most advanced color multifunction printers (MFPs) for offices, the WorkCentre® 7700 Series, can cut “paperwork” processes from hours to just minutes, helping law firms, financial institutions and healthcare organizations work faster and smarter.

With speeds up to 50 pages per minute (ppm) in color and up to 75 ppm in black and white, the MFPs handle everything from general office documents to high-volume color print jobs. They also manage multiple printing, copying, scanning and faxing tasks simultaneously without interruption for quick turnarounds. Accelerated document processing and the ability to produce high-end color prints means employees spend less time handling documents and more time serving customers.

The WorkCentre 7700 Series comes equipped with Xerox's Extensible Interface Platform® (EIP), a technology that can be used to create customized workflow applications. For example, hospital patient registration forms can be sent from the emergency room to the billing department by scanning and simply routing the document using the MFP’s touch screen.

“With advanced document management tools and professional color capabilities right at your fingertips, the WorkCentre 7700 Series makes easy work of complicated tasks,” said Rick Dastin, president, Global Product Delivery Group, Xerox Corporation. “These new MFPs can be customized to meet the specific workflow needs of individual users and workgroups – helping our customers get work done quicker than ever.”

Professional quality

  • Built-in tools, like Xerox Standard Accounting, help monitor and control color costs.
  • Optional EFI Fiery print server, available for the entire WorkCentre 7700 Series, provides powerful graphic arts capabilities and accelerated print processing that routes jobs to appropriate devices.
  • Finishing options like 100-page stapling and C- and Z-folding makes it easy to handle complex tasks like booklet making in-house.

Reliable security

  • Full support for the IPv6 network security standard and an Image Overwrite feature that shreds data stored on the hard drive as part of routine job processing ensures customer information is safe.
  • Secure Print holds files in the print queue until a PIN is entered to release the documents to print.
  • Network Authentication restricts access to scan, e-mail and network fax features by validating user names and passwords prior to use.

Environmentally responsible

  • Meets the U.S. Environmental Protection Agency’s rigorous new ENERGY STAR® requirements.
  • Earth Smart print driver defaults can be set on the MFPs to include two-sided printing, proof print, no banner page, recycled paper and draft mode.

The world is focused on recycling. One of the best places to start may be with your office laser printers and multifunction systems.

Here are three simple steps to cutting waste and saving money:corporate online trainning - man presenting

  • Recycle Paper Put recycling bins next to your printers and copiers. Most municipalities have recycling services. You can also use recycled paper in your printers and copiers. Make sure to select a good quality of recycled paper that is rated for laser printers and copiers.
  • Duplex Printing A great way to immediately cut paper usage is to set your printers and multifunction systems to default to duplex (two-sided) printing. This is especially helpful for long print jobs because duplex printing literally cuts your paper usage in half.
  • Recycle Printer Cartridges It takes over 2 quarts of oil to make a new laser printer cartridge. Make sure that printer cartridges are sent for recycling. You can also use remanufactured printer cartridges in many laser printers- you’ll save landfill space and spend less.

These three simple steps can be taken to reduce the environmental waste of your office - while cutting costs. continue reading...
